How a project at WebHelpo works
What you can expect from us, what we need from you, and how we handle planning, feedback and delivery.
This is a draft, not a binding agreement
This text describes how we work. Several things that belong in real terms are deliberately missing because they have not been settled: payment terms, liability, cancellation and refunds, the moment ownership transfers, and which law applies. They have been left out rather than guessed. What applies to your project is in your quote, and that takes precedence. Accepting a quote does not mean you agree to this page.

Request and quote
You tell us what your business does, what the website needs to do, and what budget you have in mind. We prepare a proposal based on that.
The quote states what we will build, what it costs, how long the proposal is valid, and which terms apply specifically to that project. While a quote is still a draft you do not see it: it becomes visible once it has actually been sent to you.
You accept it in the client portal. Only a contact person your company has authorised can do that. If a quote is changed substantively after it was sent, your approval of the old version does not carry over to the new one.
What is and is not included
The quote describes the agreed scope. Anything not in it falls outside. That is not a formality; it is the reason a project stays within budget.
If you want something added during the project, you can request a change. We tell you what it means for the planning and whether it costs extra before we start on it.
Who does the work
WebHelpo does not build the sites itself. We find a developer or designer who fits your request, and we guide the project: planning, communication, quality control, feedback and delivery.
You have one point of contact and do not have to compare or manage freelancers. We make the arrangements with the maker and are your contracting party.
What the maker agrees with us is a separate arrangement between us and them. It is unrelated to what you pay.
What we need from you
A website does not happen without content. Text, photos, a logo, brand colours, access to your domain: we agree at the start what is needed.
If you supply material, we assume you are allowed to use it. We cannot publish someone else's photos or text without permission.
You supply it through the client portal, so everything is in one place and you can find back later what you sent.
Planning
We agree an indicative planning at the start. It is in the portal, with the progress alongside it.
A planning slips for two reasons: material arriving later than agreed, and feedback that does not come. We tell you as soon as a date is at risk, and we do not quietly move it.
Feedback and revisions
You see the work before it goes live and you can respond to it. Feedback goes through the portal so nothing gets lost in an email thread.
The number of revision rounds that belongs to your project is in your quote. There is no fixed number that applies to everyone, and we do not promise unlimited revisions.
Requests that fall outside the agreed scope are handled as a change: we say what it means before we do it.
Delivery
When the work is ready we put it up for approval. You review it and approve it in the portal. As with quotes, only an authorised contact person can do that.
After your approval the site goes live or is handed over as agreed. What exactly is handed over is stated in your quote.
Hosting and maintenance
Hosting and maintenance are not included by default. They are part of the project if your quote says so, and then it also says what that covers.
If nothing was agreed, our involvement ends at delivery and you arrange it yourself or through another party.
Price and payment
The amount for your project is in your quote. Prices mentioned on the website are indicative figures to give you a sense of scale, not an offer.
Invoices are visible in the client portal, with the amounts and VAT alongside. Payment happens outside the portal; there is no payment facility in the site.
Payment terms and what happens on late payment are deliberately not stated here: those need to be settled before we can present them as conditions.
Ownership of the work
What you supply stays yours. Text, photos and your logo remain your property and are used only for your project.
What gets built, and when it becomes yours, depends on the arrangements with the maker and on payment. The exact moment of transfer has not been settled; what applies to your project belongs in your quote.
Third-party components such as a theme, plugin or font keep their own licence. We cannot transfer those to you.
If something goes wrong
If you are unhappy about something, tell us as soon as you can. We look at it together first; most things are resolved before any procedure is needed.

Ending a project
If a project stalls, we discuss what is going on first. If either of us wants to stop, we agree on what is finished, what has been paid, and what you take with you.
Which notice periods apply and how the final settlement works is not stated here. That too needs to be settled rather than estimated.
